Ad Portal Tips

Access SendMyAd Portal

All advertising material must be single page PDF (if your ad is running as a spread, you must export your file as a one page PDF file by clicking on the “spread” box when exporting.) 

PDFs should conform to the PDF/X-1a specification.

  • No Crop Marks or Color Bars – If you must have them on for a client- be sure they are at least 18 Points OFFSET – then upon upload into the portal, click on REPOSITION AD and use the Trim & Save Tool to remove them BEFORE approving the ad. (If file has been trimmed correctly you will only see from the BLUE BLEED RULE inward, the approved file should not have anything visible outside of the BLUE BLEED RULE.)
  • Total Ink Density cannot exceed 300% – for all page elements, text, photos, artwork, etc.
  • CMYK only – No RGB, LAB or PMS colors (unless you are actually printing a PMS color)
  • Image Resolution of at least 300 dpi – Low resolution images may not print as sharply as intended. If the images in your file were originally high resolution, and are being flagged low resolution in the ad portal, check your PDF settings to make sure the images are not being downsampled when converting to a PDF.
  • Build file to correct size – you can download an InDesign template from the Ad Portal.
  • Bleed – If your ad is to bleed, please be sure to include an EXTRA 0.125” of color or image on all sides of the ad that is to bleed. (Full page ads bleed on all 4 sides regardless of binding method).
  • All fonts must be embedded.
  • Error and Warning Messages – Once your file has finished processing you will see a list of errors and warnings on the right hand side. Place your cursor over these messages and it will highlight the area of the file in question. Click on messages that will explain how to fix the issues.

Special Ad Sizes

Belly Band

Belly bands and full wrappers require adherence to the following specifications to ensure a precise fit.

Calculating Belly Band & Full Wrapper Width
The image area should bleed to the edges, although approximately ¼” of this area will be covered by the overlap.

Measurements:

  • Trim: 18.25 inches X 5 inches
  • Bleed: .125 inches bleed on all sides (18.5 inches X 5.25 inches)
  • Safety: 17.75 inches X 4.5 inches
  • Glue overlap: 0.5 inches

Paper Weight: Printed on 80# stock to avoid slowdown and possible handwork.

Split Cover

There is no more dramatic ad position than the split cover.

Layout Application Specs:

  • Total document width: 18.25”

The HM logo, volume number and issue date will appear in a dark blue box in the upper left-hand corner.

The box dimensions will be 3.1562 inches x 4.1 inches. This will be built into our template, no need to include in your ad.

Front and Back Dimensions:

  • All false covers, front and back, are full bleed.
  • 9.125 inches wide by 11 inches tall (includes bleed)

Mailing Label:

  • All false covers must include space for the mailing label.
  • 3.6716 inches wide x1.5082 inches deep
  • Please keep this area free from text. Do NOT include this box in your file. It is part of our InDesign template. All false covers will be labeled advertisement in the top right-hand corner.

Tips for creating a PDF for the Ad Portal:

  • Flattened PDFx1a:2001 – PDF v1.3
  • No crop marks or color bars: (If you must have them on – be sure they are 18 points OFFSET – then upon upload to the portal, Click on REPOSITION Ad and use the Trim & Save Tool to remove them in the portal before delivery to publisher).
  • CMYK only: No RGB or PMS colors (unless you are printing a PMS color)

Digital Requirements

Questex is now accepting all advertising material via our Ad Portal.

  • SendMyAd is a web-based software service ad portal that is accessed using a standard web browser on any computer anywhere in the world to simplify the process of submitting ad materials to publishers. With SendMyAd, ad materials can be uploaded, preflighted, approved, and delivered to Questex all within a simple-to-use ad portal.
  • SendMyAd provides both the advertiser and publisher with an interactive preflight report highlighting the results of the automatic preflight performed against the publications ad specifications. You, as an advertiser, will know right away if there are any issues with your file upon upload, with many instructional videos on how to correct any problems the file may encounter during the process. With an easy-to-use trim editing tool, ads can be repositioned and/or scaled to fit the publication’s ad specifications without resubmitting or leaving the ad portal.   • Crop Marks: We request that all advertiser materials be supplied with crop marks built into the document outside of bleed area to prevent them from printing.
  • Ad Proofs: To ensure that your ad is reproduced correctly, a SWOPcertified color proof made from the same file that you supply to us must be provided. We cannot guarantee the accuracy of reproduction of your ad without a SWOP proof.  No make goods will be issued on ads run without a SWOP proof.

Mechanical Requirements

  • For Bleed Ads add 1/8” to top, bottom, left and right for bleed.
  • Live copy MUST be 1/4” inside of trim on all four sides, plus 1/4” away from each side of the gutter for spreads.
  • Insert jogs to foot.
  • All advertiser files must be created as PDF/X1-A 2001 or 2003 (Compatibility Acrobat 4, PDF 1.3) with high-resolution images and all fonts embedded.
